This page answers common questions about Smart Rename: Photos & Files — how it helps you find the right photo or file instantly, how auto-renaming and Smart Folders work, how offline usage and optional sync behave, and what happens to your data. The answers below reflect the app’s current functionality and limitations.
About Smart Rename
Smart Rename is a mobile app that automatically renames and organizes photos, videos, PDFs, and documents into Smart Folders the moment you capture or upload them. It eliminates manual renaming and messy filenames like IMG_1234.jpg.
It solves failed file retrieval. Instead of scrolling through hundreds of photos when search fails, Smart Rename ensures files are named with context at capture, so they can be found instantly later — even under pressure.
Yes. Smart Rename is available on both Android and iOS smartphones, with the same core features and offline-first design on both platforms.
Smart Rename is a local, device-based app that works completely offline for all core features. All files are stored on your phone. Cloud sync is optional and only applies if you explicitly enable Google Drive sync.
Smart Rename is designed for anyone who needs fast, reliable file organization — including doctors, professionals, small businesses, students, photographers, field workers, and personal users managing documents or photos.
Smart Folders & Auto Rename
Smart Folders are context-based folders you create once (for a person, project, event, or subject) to organize photos, videos, PDFs, and documents). Every file captured or uploaded into a Smart Folder is automatically renamed and saved there without manual sorting.
Smart Rename automatically names files using the folder context and capture or upload date. This ensures every file has a meaningful, searchable name instead of generic names like IMG_1234.jpg.
Files are renamed at the moment of capture or upload, not later. This ensures correct naming when memory is fresh and makes future retrieval reliable.
Yes. You can upload existing photos, videos, PDFs, or documents from your phone into Smart Rename. Once added to a Smart Folder, the files are automatically renamed using the folder context and date.
When you edit a Smart Folder name, Smart Rename can automatically rename all files inside that folder in bulk to match the updated context.
Yes. Smart Rename uses internal unique identifiers to keep folders distinct, even if their visible names are the same. This prevents conflicts and duplicate issues.
Yes. You can rename hundreds of files at once by editing a Smart Folder or uploading multiple files together. Bulk renaming of files is supported, but it is secondary to capture-time naming.
Files, Search & Views
You can capture or upload photos, videos, PDFs, documents, and other common file types. All supported files are automatically renamed and organized inside Smart Folders.
Smart Search looks across folder names, file names, tags, and notes. This allows you to find files even when you don’t remember the exact file name.
Tags and notes let you add extra context to files. They do not change the file name, but they improve search accuracy and help you retrieve files using keywords later.
Views are saved searches. They let you access frequently used files with one tap instead of repeating the same search every time.
Yes. Views are dynamic. When new files match a View’s search criteria, they automatically appear in that View without manual updates..
Yes. You can edit file names, tags, and notes, or delete files at any time. Changes apply immediately.
Yes. You can select one or multiple files and share them from Smart Rename to other apps like WhatsApp, email, or cloud apps using your phone’s standard share menu. Files are shared directly from your device — Smart Rename does not upload or host them.
Offline Use & Privacy
Yes. All core features work completely offline, including capturing files, auto-renaming, organizing into Smart Folders, and searching. An internet connection is not required for day-to-day use.
All files are stored locally on your phone. Photos, videos, PDFs, and documents remain on your device and are not uploaded anywhere by default.
No. Smart Rename does not upload, scan, or access your files. There is no cloud processing involved unless you explicitly enable Google Drive sync.
No. The developer has zero access to your files or folders. All file operations happen locally on your device.
Internet access is only required for signing in and managing your subscription. Once activated, the app works offline. Optional features like Google Drive sync require internet access.
Yes. Since all core functionality is offline, Smart Rename works in airplane mode and in places with poor or no internet connectivity.
No ads are shown inside Smart Rename. The app uses limited, aggregated analytics to understand app usage (such as screen visits), but it does not track, scan, or analyze your files, file names, tags, notes, or folder contents.
Google Drive Sync & Device Switch
Yes. Smart Rename offers optional Google Drive sync that mirrors the folders and files created inside the app to your Google Drive. Sync only runs if you explicitly enable it.
Google Drive sync is one-way. Files and folders are mirrored from the app to Google Drive only. Changes made directly in Google Drive are not supported and will be reverted during the next sync.
Google Drive sync is mainly used to mirror your Smart Rename files so they can be accessed from another device, such as a desktop, and to support device switching. It is not designed for editing, managing, or reorganizing files directly from Google Drive.
Yes, but only if a valid Smart Rename backup exists in Google Drive. Restore works when the app finds both the mirrored folder structure and the required app data stored in Google Drive. Simply enabling sync once is not sufficient by itself.
No. All core features work fully offline without Google Drive sync.
No. Google Drive sync is one-way from the app to Drive. Any changes made directly in Google Drive are not supported and may be overwritten during the next sync.
Deletion, Data Loss & Limits
Deleting a Smart Folder permanently deletes the folder and all files inside it. This action cannot be undone.
Deleted files are permanently removed and cannot be recovered. Smart Rename does not have a recycle bin or undo option.
No. Once a file or folder is deleted, it is permanently lost. Recovery is not possible.
Possibly, but it is not guaranteed. Google Drive sync is not real-time and may not run immediately. In some cases, a deleted file or folder may still exist in Google Drive if sync has not yet occurred. However, once sync runs, deletions in the app can also be reflected in Google Drive. You should not rely on Google Drive sync for recovery from accidental deletion.
No. Files and folders cannot be moved between Smart Folders. To change organization, files must be re-added to the correct folder.
No. Smart Rename does not currently support manual export or external backup outside of optional Google Drive sync.
No. Smart Rename is designed for single-user use on one device at a time. It does not support multiple users, shared access, or team workflows.
Yes. Smart Rename enforces character limits for folder names, file names, tags, and notes to ensure reliable operation and sync compatibility.
On iOS, uninstalling Smart Rename deletes the app and removes all app data, including folders and files stored inside the app.
On Android, uninstalling the app does not automatically delete the app’s master folder, and files may still remain on the device unless you delete them manually.
Subscription & Trial
Smart Rename includes a free trial that gives full access to all features. This allows you to evaluate the app before deciding to subscribe.
After the trial ends, an active subscription is required to continue using the app with full functionality.
Subscriptions are managed through the Google Play Store or Apple App Store, depending on your device. Billing, renewals, and cancellations are handled by the respective app store.
Internet access is required for sign-in and subscription verification. Once activated, Smart Rename works offline for all core features until the subscription expires.
A subscription can be used on one device at a time. Device switching is supported using the same account and subscription, but simultaneous use on multiple devices is not supported.
Your files remain on your device and are not deleted. You can still access them directly using your phone’s file manager. However, access to Smart Rename’s app features may be restricted until the subscription is renewed.
Yes. You can cancel your subscription at any time from your app store account settings. Access remains active until the end of the current billing period.
